On February 26, INCENTEA Mozambique held the FileDoc Webinar – “Digitalization and Intelligent Document Management”.
The session brought together professionals from various sectors who wanted to understand how to turn traditional document processes into structured, secure and efficient digital workflows.
The Context: Why Document Management Is Still a Challenge
The opening was given by Rosângela Tavares, Director of INCENTEA Mozambique, who set out the reality of many organizations in the country. Despite technological progress, there is still a heavy dependence on paper documents, manual validations and information scattered across multiple systems and emails. This fragmentation not only compromises internal organization, but also directly affects productivity, control and the capacity for growth.
The Solution: What Is FileDoc?
The technical presentation was led by Paulo Pires, who showed in practice how FileDoc responds to these challenges. The solution makes it possible to centralize all documentation in a single repository, structure approval processes and ensure full traceability of information, promoting truly intelligent document management.
With more than 200,000 users and an international presence, the solution makes it possible to replace paper entirely, ensuring security, traceability and legal compliance.
Practical Demonstration: The Key Moments
During the live demonstration, a real scenario of automatic invoice registration was presented. The system identifies the document’s main data, classifies it automatically and starts the respective approval workflow, eliminating repetitive tasks and significantly reducing the risk of human error.
ERP Integration
Two-way integration with ERP was also highlighted, notably with Cegid PRIMAVERA, allowing information to flow consistently between systems. This integration ensures that the data recorded in FileDoc feeds the ERP and vice versa, ensuring consistency, financial control and operational traceability.
Structured Approval Workflow
Another relevant moment was the demonstration of structured workflows, where the definition of automatic rules based on hierarchical levels or financial values became visible. The system makes it possible to follow each step of the process, identify pending documents and issue deadline alerts, strengthening organizational discipline and compliance with internal procedures.
Digital Signature and Version Control
The digital signature feature and version control reinforce security and legal compliance, ensuring that each document keeps a complete history of changes, approvals and access. This level of control becomes essential in audit contexts or regulatory requirements.
In the end, one central message was clear: document digitalization is not just a technology issue. It is a strategic decision that directly influences operational efficiency, cost reduction and the quality of decision-making. Organizations that structure their information are better prepared to grow in a sustainable, competitive and resilient way.
